Process Mapping and SOPs

A process map shows how work moves through activities, decisions and handoffs. An SOP describes how an agreed activity should be performed. Neither replaces ownership, stakeholder validation or a working system that supports execution.

Where to start

Start by agreeing whether you are recording today's process or designing a future one. Choose the simplest notation that can represent the decisions accurately, validate it with the people doing the work and assign an owner for later changes.

Understand and choose the map

Separate the current workflow, proposed workflow and notation decision before selecting a tool.

Validate with the team

A correct diagram is not enough if the people responsible for the work cannot confirm the handoffs and exceptions.

Turn documentation into maintained practice

Keep the procedure, system and team's instructions connected to the approved process.
